EasyCollect Frequently Asked Questions

What do you mean by “low dollar collectibles”?
A low-dollar collectible is any amount that is too small for you to collect it efficiently, typically under $100. These balances often result from co-pays, deductibles and small self-pay balances. We accept charges of $15 and up.

Why does MedServ EasyCollect achieve better results than traditional billing methods?
We believe that there are several reasons for our high success rate. First, our method delivers bills to patients quickly, while their medical transport is still fresh in their minds. Second, the bill is much simpler than the typical provider statement, and we provide customer service to address questions in a single phone call. What’s more, our collection rate tends to be higher than traditional billing methods because people pay their phone bills.

How do you put charges on people’s phone bills? Is this legal?
Our exclusive arrangement with telephone carriers allows us to put charges on their home or cellular phone bills. It’s 100 percent legal.

Can a patient’s phone be disconnected for non-payment?
No. Only non-payment of local phone-related charges will result in disconnection.

What if the owner of the phone is someone other than the patient?
Prior to placing charges on the patient’s phone bill, we verify with the phone company that the patient’s name, address are phone number are all consistent with the phone company’s customer records.

Is the process HIPAA-compliant?
Absolutely. MedServ and each of our clients enter into a Business Associate Agreement designated MedServ as a business partner of the provider, in compliance with HIPAA regulations.

Who do patients call if they have a question?
Patients can obtain answers to billing and payment questions quickly and easily via by contacting MedServ’s customer service department at a toll-free 800 number.

I already use an outside billing service. Why should I use MedServ EasyCollect?
For low-dollar collectibles, MedServ EasyCollect is more efficient than a conventional billing service. Only MedServ EasyCollect can place charges on patients’ phone bills, dramatically increasing the collection rate. We can work with your existing billing service to transfer provider records and begin servicing them immediately, allowing your billing service staff to concentrate on larger claims.

Do you provide customer service for providers?
Our customer service representatives are available during normal business hours to answer your staff members’ questions via toll-free 800 number.

How do I send unpaid charges to you?
You can transfer provider records to us in whatever format is most convenient for you: mail, fax or electronic transmittal.

When do I get paid?
When we receive payment, we immediately remit the net amount (after fees) to you.

What happens if a patient doesn’t pay?
We make three attempts to secure payment. Unpaid bills are then returned to the provider.

If you don’t collect, do I still have to pay?
No. We get paid only if we collect, and then only on a percentage basis.

I already use a collection agency. Why should I use MedServ EasyCollect?
EasyCollect is a highly effective billing service. We do not take the place of collection agencies. Our service is designed to reduce the need for the provider to bill patients themselves, thus reducing costs. Because our process is so efficient, we reduce the number of accounts that are turned over to collections. Our collection rates have traditionally been higher than collection agency rates because collection agencies devote very limited resources to collecting small dollar amounts.

Doesn’t this process annoy patients?
Absolutely not. Billing patient charges to their phone accounts is well proven and tolerated, typically resulting in a customer service call rate of less than 1 percent.
